I am trying to make this as affordable as possible for everyone, and also trying to keep it in line with other LAN events. At the end of the weekend I just want to make sure I cover costs on my end.

Here is a discussion for everyone to give me their input on some of my cost thoughts:

Event Cost
If you check the seating options thread or website you can see that there are 3 basic options for seating. Here are my thoughts on pricing for full access from Friday through Sunday for each seating option:

Empty (Bring all of your own stuff) - $25

Partial (Bring your Xbox and headphone/sound, monitor/TV provided) - $35

Full (Everything at our location provided for you, just bring your Gamertag on a thumbdrive and your own controller if you don't want to use one of ours - $45

Hotel/Lodging Cost
I will update this once we get the weekend secured, but I believe we are looking at nightly rates of between $40 per night for a single to around $120/night for something nice with double occupancy.

However we have a deal with the Fairfield Inn for example during our tournaments that allows 4 players (team size) to get a double bed room for all 4 at only $79/night. There will be options like this for those traveling together.

I don't want anyone to be left out of this because of cost and we can even get more creative options. Because my staff and I live here and also because many of our regular gamers are great folks we can try to also provide places to "crash" around town. For example there are driveways for those who want to travel here in an camper, backyards for anyone wanting to pitch a tent, couches, some spare bedrooms, etc. We can get super creative to make sure no one has an excuse that they can't afford the trip.

Food Cost
Friday night we will block off space at Beef O' Bradys which is our neighbor at the store and the owners are great people. They have good food and cheap beer.

During the Guinness Event my plan is to have meals brought in at a cost of $5 per person or less. We have a great BBQ place in town for one meal, maybe pizza for another and plenty of sub shops in town like Subway, Jimmy Johns and Penn Station.

Breakfast of Guinness morning is totally my treat. I want to introduce everyone to our world famous Square Donuts here in town. We will have coffee, milk and juice available for that final push to noon on Sunday when we grab all of the Guinness Records!

Other Ideas
Shirts - One thing that we have access to get because of our history here is a great t-shirt printer that is very cheap. We print lots of shirts for our events and I thought we might consider doing an event shirt for everyone. My cost is $5/shirt for one color one side and $7 for sizes XXL or higher. Some of the creative graphic guys here on the site can put together design ideas. I thought it might be fun to do two sides, and on the back print all of our tags who are participating to set the record.

Indy is a fun city, I've been there several times, just haven't ventured must past it.

Yeah, it's not quite Nebraska but it's definitely not the most exciting drive.

I was only half kidding. I was in Indy last week for the super bowl and had an awesome time. the rest of my Indiana experience has been driving though it on from Ohio to Chicago. and it looks a helluva lot like Ohio, boring and corny.

Yes. And yes. The updates of reservations are manual, but we will update it several times daily and try to update hourly tomorrow after we open registration.

Will the seating chart be made available before registration opens? As the site says - we need to know the seat number we want to register for. And will registration identify seats that have already been reserved? That way those that want to sit together can plan accordingly.

Prices are for the entire weekend. Friday, Sat and Sun. We can be flexible on arrivals Thursday night and departures Monday also. That is one huge benefit of hosting the event at our store where I make the rules!

Reminder that registration is going to open on the website at 1 pm Est tomorrow!

Well, with me flying in from Oregon, there's no way I'm bringing my own TV. I do have an Xbox travel case like Futiles was talking about in the other thread. Holds everything I need.

Bozack, you said something about sound. I'm assuming the monitor have no speakers, so I'd need to bring my X41's or some other sort of headphones?

Every space is 36" wide (12 foot sections split up to 4 people). We have 32" LCD HDTV in some of the sections, that would be about as large as would fit. I am not sure for a weekend party anyone would want to bring a TV much larger than that anyway. :)

I'm curious as to how large these "empty" sections are if we bring our own TV's? What size TV will fit?
